Job Summary: The Patient Service Specialist is responsible for the registration of all patients’ accessing therapy. They will greet patients, activate patient files, and communicate in-person and on the phone while placing an emphasis on patient satisfaction. The Patient Service Specialist will schedule appointments, obtain and verify insurance and demographic information, and assist patients with questions while maintaining confidentiality, professionalism, and ethics.

 

Duties/Responsibilities:

  • Welcomes patients and visitors to the clinic by greeting patients and visitors in person and on the telephone and answering inquiries or referring questions to other staff members.
  • Schedules appointments for the therapists and therapy assistants to optimize patient satisfaction, provider time and most effective use of clinics.
  • Prepares a daily schedule of appointments for each therapist and therapy assistant.
  • Ensures all necessary demographic and billing information is obtained for patients and entered in the computer system timely and accurately.
  • Communicates with therapists and therapy assistants to keep patients on schedule and modifies schedules accordingly due to cancellations or late arrivals.
  • Assists injured patients as necessary. Telephones family members/caregivers when necessary for transportation.
  • Maintains reception area in a neat and orderly condition.
  • Confirms eligibility and verifies insurance benefits.
  • Explains financial responsibilities for services received, payments options, and collection procedures to patients and/or parties responsible for payment.
  • Counsels patients regarding insurance benefits and recommends alternative sources of payment and/or financial assistance when appropriate.
  • Accepts payments and co-pays and assists patients with insurance and billing questions.
  • Answers phones and communicates effectively with insurance companies, patients, therapists, and staff members.
  • Opens and sorts clinic mail and delivers outgoing mail to the post office.
  • Assists other staff members as needed.

 

Required Skills/Abilities:

  • Hearing ability to communicate with therapy staff, patients, and office staff.
  • Basic understanding of clerical and administrative procedures.
  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Ability to solve problems as they arise.
  • Proficient in Microsoft Office Suite or similar software.
  • Personality and demeanor to deal with the public and assist injured, older, or distraught patients.
  • Basic office skills such as typing, filing, and answering phones.

 

Qualifications/Education/Experience:

  • High school diploma or equivalent required.
  • Graduate of a certified medical office training course preferred, but not required.


Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 50 pounds at times.
